Getting Started with Uploads
Voice Scholar makes it easy to upload and process your lecture recordings. Our platform accepts most common audio formats and can handle recordings of various lengths, depending on your account tier.
Supported Files
Voice Scholar supports these audio formats:
- MP3 (.mp3)
- WAV (.wav)
- M4A (.m4a)
- AAC (.aac)
- FLAC (.flac)
- OGG (.ogg)
Account Limits
Upload limits based on your account tier:
- Free tier: Up to 30 minutes per file, 10 transcriptions/month
- Premium tier: Unlimited audio length and transcriptions
- Maximum file size: 2 GB
- Processing time: 1-2× the audio length
How to Upload a File
Follow these steps to upload and transcribe your lecture recordings in just a few minutes.
Navigate to Your Dashboard
Log in to your Voice Scholar account and go to your Dashboard. You'll find an "Upload" button in the top-right corner. Alternatively, you can access the upload feature directly from your classes.
Pro Tip: You can also upload directly from the homepage by clicking the "Upload Audio" button in the quick actions section.
Create or Select a Class
Before uploading, you'll need to either create a new class or select an existing one. Classes help you organize your lecture content by subject, course, or semester.
Organization Tip: Create clear, descriptive class names like "ECON 101" or "Organic Chemistry" to easily find your content later.
Select Your Audio File
Click "Choose File" or drag and drop your audio file into the upload area. Add a title and any additional details about the lecture.
File Requirements:
- Supported formats: MP3, WAV, M4A, AAC, FLAC, OGG
- Maximum file size: 2GB
- Free tier: Up to 30 minutes per file
- Premium tier: Unlimited audio length
Process Your File
Click "Upload" to begin processing. The transcription may take some time depending on the length of your recording. You'll receive a notification when it's complete.
Processing Times (Approximate):
- Free tier: 1-2× the audio length
- Premium tier: 0.5-1× the audio length
- Example: A 1-hour lecture typically processes in 30-60 minutes on Premium
Review and Use Materials
Once processing is complete, you can review the transcription, edit any errors, and begin using the AI-generated study tools created from your lecture.
You'll receive a notification when processing is complete. You can leave the site and come back later if needed.

Audio Recording Tips
- Use a good quality microphone when recording lectures
- Position the microphone close to the speaker
- Minimize background noise and echoes
- Choose higher bitrate settings when recording
- Record in a quiet environment whenever possible
- Test your recording setup before important lectures
Transcription Optimization Tips
- Add custom vocabulary for technical terms in your field
- Specify the primary language if it's not English
- Enable speaker diarization for multi-person discussions
- Choose the appropriate subject area when uploading
- Review and edit transcriptions for specialized terms
- Add descriptive titles and metadata to improve AI analysis

My file won't upload
If your file won't upload, check the following:
- Make sure your file is in a supported format (MP3, WAV, M4A, AAC, FLAC, OGG)
- Check that the file size is within your plan's limits (2GB maximum)
- Ensure you have a stable internet connection
- Try refreshing the page and reattempting the upload
- Clear your browser cache and cookies
- Try a different browser (Chrome or Firefox recommended)
The transcription seems inaccurate
If your transcription has errors:
- Use the built-in editor to manually correct any mistakes
- Add domain-specific terms to your custom vocabulary
- Check if there was significant background noise in the recording
- Try enhancing the audio quality before uploading if possible
- For technical subjects, review specialized terminology
- Consider re-recording in a quieter environment if possible
The processing is taking too long
Processing time depends on several factors:
- The length of your audio file (longer files take more time)
- Current system load and queue position
- The complexity of the audio (multiple speakers, background noise, etc.)
- Your account tier (Premium accounts get priority processing)
Most files are processed in less than the audio duration. For example, a 1-hour lecture typically processes in 30-60 minutes with Premium.
If processing takes more than 3× the audio length, please contact support.
I'm hitting my storage or upload limits
If you're reaching your account limits:
- Free users: Consider upgrading to our Premium plan for unlimited uploads
- Review your existing files and delete any that are no longer needed
- Compress audio files before uploading to reduce file size
- For very long lectures, consider splitting them into smaller segments
- Export and download important transcriptions to free up cloud storage
Upgrade to Premium for unlimited storage and processing.
