Learn about Voice Scholar's storage system, how to manage your audio files and transcriptions, and how different subscription plans affect your storage capacity.

Storage Overview

Voice Scholar stores various types of data to provide you with a comprehensive learning experience. Understanding how storage works helps you manage your account effectively and make the most of your available space.

What Counts Toward Storage

  • Audio Files

    The lecture recordings you upload to the platform (MP3, WAV, etc.).

  • Transcriptions

    The text transcriptions generated from your audio files.

  • Generated Study Materials

    AI-generated flashcards, quizzes, and other study materials derived from your lectures.

Note: Your account analytics, usage data, and profile information do not count toward your storage limits.

Checking Your Storage Usage

Voice Scholar provides several ways to monitor your storage usage to help you stay within your plan limits:

  1. Dashboard Storage Widget

    Your main dashboard displays a storage widget showing your current usage and remaining space at a glance.

  2. Account Settings

    For more detailed information, navigate to Settings → Account → Storage, where you'll find a comprehensive breakdown of your usage by file type.

  3. Class and Lecture Info

    Each class and lecture shows the storage space it occupies, helping you identify which content is using the most storage.

  4. Upload Dialog

    When uploading new files, the upload dialog displays your current storage status and whether you have sufficient space for the upload.

Storage Alerts: Voice Scholar will send you email notifications when you reach 75%, 90%, and 100% of your storage limit to help you manage your space proactively.

Managing Your Storage

If you're approaching your storage limit, Voice Scholar provides several options to manage your space effectively:

Deleting Content

You can free up space by deleting files you no longer need. Here's how:

  1. Navigate to the lecture or class you want to delete

    Find the specific content in your dashboard or classes view.

  2. Click the options menu (three dots)

    This will reveal additional actions for the content.

  3. Select "Delete"

    You'll be asked to confirm this action.

  4. Confirm deletion

    Once confirmed, the content and associated files will be removed from your account.

Important: Deleting content is permanent and cannot be undone. Make sure you've downloaded or backed up any important information before deletion.

Audio File Options

Since audio files typically use the most storage, Voice Scholar offers special options for managing them:

Delete Audio, Keep Transcription

You can delete just the original audio file while keeping the transcription and study materials. This typically saves 80-90% of the storage used by a lecture.

Set Audio Expiration

You can configure audio files to be automatically deleted after a certain period (e.g., 30 days, 60 days) while preserving transcriptions and study materials.

Compress Audio Files

Voice Scholar can automatically compress your audio files to reduce their size while maintaining sufficient quality for transcription and playback.

Optimize Audio Files

Before uploading, compress your audio files to a reasonable quality. Voice Scholar works well with MP3 files at 128kbps, which significantly reduces file size compared to higher bitrates.

Regular Cleanup

Review your content quarterly and delete or archive lectures that are no longer needed. For past courses, consider keeping only the transcriptions and study materials.

Auto-Expiration

Configure auto-expiration for audio files in your account settings. This automatically deletes original audio after a set period while preserving transcriptions and study materials.
